The previous incident reporting system presented several deficiencies. It lacked user-friendliness, single sign-on functionality, and offered limited customisation options, hindering data analysis. Notably, the requirement for multiple logins across various sites proved problematic due to issues with password management.
I-MED chose Riskware by Pan Software for its ability to provide substantial scale to manage staff, sites, regions and business units and the software's user-friendly interface. The organisation is now able to generate comprehensive reports and analyse large amounts of data with ease.

The previous incident reporting system presented several deficiencies. It lacked user-friendliness, single sign-on functionality, and offered limited customisation options, hindering data analysis. Notably, the requirement for multiple logins across various sites proved problematic due to issues with password management. While the system could distribute audits to all 250 sites and automate auditing centrally, its efficiency was compromised by insufficient categorisation capabilities and access difficulties arising from multiple logins.
In approximately 2020, a review of several alternative systems, with varying degrees of complexity, was undertaken. Some options were swiftly deemed unsuitable due to logistical challenges. Given the substantial scale and intricate organisational structure, a robust backend setup was essential to effectively manage staff, sites, regions, and business units. This requirement eliminated certain products. The evaluation process spanned approximately six to eight months. Riskware was identified through recommendations and online research.
Riskware's capacity to accommodate bespoke requests and its commitment to developing an audit module that replicated critical functionalities of the previous system were instrumental in its selection. Some Riskware features and key benefits include:
As organisational needs have evolved, increased data granularity and additional fields have been incorporated to facilitate more effective data management. The implementation of Riskware with single sign-on has streamlined incident logging, enhancing incident reporting efficiency. The customisation of data input forms has enabled the collection of more targeted information, resulting in improved data output and analysis. Overall, benefits include strengthened security, enhanced usability, and improved data creation.
In 2024, further refinements were made to the management plan and incident module. Additional content and fields were introduced to facilitate enhanced data management and categorisation. Escalation rules and automated notifications, while often overlooked, are crucial for a geographically dispersed organisation. Riskware ensures consistent communication and awareness across all locations.
For example, Riskware enabled the analysis of patient falls by reviewing 24,000 incidents to find data that supports improvement initiatives. Similarly, it helped investigate contrast extravasation to understand the causes and frequency for the team to make improvements.
Riskware presents a user-friendly interface coupled with customisable reporting features, granting organisations access to real-time data and analysis. This empowers them to not only gain immediate insights into their operations but also to proactively identify potential risks and areas for enhancement. By facilitating data-driven decision-making, Riskware essentially elevates an organisation's overall visibility and paves the way for continuous improvement.
